Who we serve: cannabis retail
Management Support for Cannabis Retailers
Compliance-focused management of the recurring work in a licensed cannabis store: renewals, inventory follow-up, staff procedures, records, and the facilities your license depends on. SPL runs that work with you; decisions and filings stay with the license holder.
Who it is for
For owner-operators and multi-location cannabis retailers.
SPL Management works with licensed cannabis retailers in the US and Canada. Rules differ by country, state or province, and municipality, so each engagement is scoped around the licenses you hold and the places you operate, and set out in a written proposal.
We organize and run the recurring work that keeps a store in good standing. Where a question turns on how a rule or license condition applies to you, we take it to your counsel or to the regulator’s published guidance rather than answering it ourselves.
Retail workflows
What SPL manages, and what you receive.
Each workflow produces a working document that stays with your business. The links show a sample or a free template in the same format.
Renewal coordination
A renewal depends on documents held by different people: insurance, the lease, local approvals, ownership records, and staff information. We map what each renewal needs, who holds it, and when work has to start, then follow it through. You review, sign, and submit.
- What SPL produces: a renewal plan inside your compliance calendar, with a start-by date and a named owner for each item.
- See the format: sample compliance calendar; Compliance Calendar Template; Licensing & Regulatory Strategy
Track-and-trace and inventory exception follow-up
Inventory tracking systems and reporting rules vary by jurisdiction. We do not replace your team’s work in the system. We set up a routine for catching exceptions, such as count variances, unreconciled transfers, or records that do not match, and following each one to a documented close. Whether an exception has to be reported, and how, is decided by the license holder with counsel.
- What SPL produces: an exception log with cause, owner, due date, and verified close, reviewed on an agreed schedule.
- See the format: Corrective Action Log; Compliance Management
Staff procedures and training
Written procedures for the tasks that carry regulatory weight, such as ID checks, receiving deliveries, cash handling, and opening and closing, with a training record showing who was trained on which version.
- What SPL produces: plain-language procedures with a named owner, and a training matrix with sign-off.
- See the format: sample procedure; SOP Template; Training Matrix
Records
Records an inspector may ask for, kept so they can be found on an ordinary day instead of assembled under pressure. The record types and retention periods come from your jurisdiction’s rules and your license conditions; we build the index around them and flag gaps.
- What SPL produces: a records index and a recurring walk-through that checks postings, logs, and files.
- See the format: Inspection Readiness Checklist; Monthly Site Walk-Through
Security and facilities dependencies
Cameras, alarms, access control, storage, and signage often depend on the building, the landlord, and outside vendors. We track service dates, vendor documents, and landlord responsibilities, and follow up when something is out of service or overdue.
- What SPL produces: facilities items and vendor documents on the same calendar as your license dates, with open issues carried into the monthly report.
- See the format: Real Estate & Facilities Management; Vendor File Tracker
Local permits
City and county permits, business licenses, and local operating conditions sit alongside the state or provincial license and often run on different dates. We record them by location, note which local body issues each one, and add them to one calendar.
- What SPL produces: a location-by-location list of local obligations, with the source and renewal date for each.
- See the format: Compliance Calendar Checklist; Licensing & Regulatory Strategy
Multi-location standards with documented local variations
One operating standard across your stores, with local differences written down instead of improvised. Where a local rule or license condition changes a procedure, the variation is recorded with its reason, the sites it affects, and who approved it.
- What SPL produces: a common procedure set, a register of local variations, and a monthly report that compares locations on the same measures.
- See the format: sample monthly owner report; Owner’s Monthly Dashboard; Business Operations Management
Responsibilities
What stays with the license holder and counsel.
What SPL handles
- Turning your licenses, permits, and conditions into a maintained calendar with named owners
- Preparing drafts, checklists, and document packages for your review
- Following up on open items and reporting status on a fixed schedule
- Coordinating with your staff, vendors, landlord, and advisors within the agreed scope
What the license holder and counsel keep
- Interpreting regulations and license conditions, which is your counsel’s role
- Deciding whether and how to report an incident, discrepancy, or change to a regulator
- Signing, certifying, and submitting applications, renewals, and reports
- Communicating with regulators and licensing agencies, and any representation before them
- Accounting and tax work, which stays with your accountant
SPL is not a law firm, accounting firm, or real estate brokerage. Nobody can honestly promise how a regulator or inspector will decide, and we do not.
