Who we serve: property owners
For Property Owners with Licensed Tenants
Coordination for owners whose tenants hold regulated licenses: building obligations, critical dates, facilities, and a clear path when something needs attention. SPL organizes the work; leasing, legal advice, and the tenant’s own compliance stay where they belong.
Who it is for
For owners whose building carries a tenant’s license.
Owners of commercial property leased to cannabis, tobacco, vapor, nicotine, or other licensed retailers, and the people who manage that property for them. When a tenant’s license depends on your building, some obligations sit with you, some with the tenant, and some are shared. SPL helps you keep your side organized and visible.
What SPL does not do. SPL does not lease property, negotiate leases, collect rent, or certify that a tenant is compliant. We are not a real estate brokerage or a law firm. Lease interpretation belongs with your counsel, and the tenant’s license and its compliance remain the tenant’s responsibility.
What SPL manages
Your side of the building, organized and visible.
Each area produces a working record that stays with you. The links show a sample, a free template, or the service page that covers it.
Building obligations
The obligations that come from the lease, the building, and local requirements: fire and life safety systems, roof and structure, common areas, access, and building features the tenant’s license may rely on, such as security installations. We record who is responsible for each item, based on the lease and your counsel’s reading of it, and keep the record current.
- What SPL produces: an obligation register listing the source, responsible party, date, and supporting evidence for each item.
- See the format: Landlord and Tenant Obligation Tracker; Lease Review Checklist
Critical dates
Lease expiry, renewal and notice windows, insurance certificate renewals, building system inspections and service dates, and the tenant’s license renewal dates where the tenant shares them, all in one calendar.
- What SPL produces: a maintained calendar for the property with start-by dates and a named owner for each date.
- See the format: sample compliance calendar; Compliance Calendar Template
What tenant information an owner can reasonably request
What you can ask for depends on the lease, and what the tenant must provide is a question for your counsel. Owners commonly ask for current certificates of insurance where the lease requires them, confirmation that licenses and local permits for the premises are current, notice of regulatory inspections, notices, or orders affecting the premises, notice of planned alterations or security changes, and service records for building systems the tenant maintains. A tenant’s regulatory files, customer information, and internal compliance records belong to the tenant; whether any of them are shared is a matter for the lease, the tenant, and counsel.
- What SPL produces: a request list agreed with you and your counsel, and a log of what was requested, received, and outstanding.
- See the format: Landlord and Tenant Obligation Tracker; Landlord Due Diligence Checklist
Maintenance and facilities coordination
Planned maintenance, service vendors, repairs, and capital items for the parts of the building you are responsible for, scheduled around the tenant’s operations and any access or security requirements tied to their license. Your property manager or licensed contractors carry out the work; SPL plans, schedules, and follows up.
- What SPL produces: a maintenance plan, vendor files with insurance and license dates, and open items in the monthly report.
- See the format: Real Estate & Facilities Management; Vendor File Tracker
Escalation
A written path for when something needs attention: a lapsed insurance certificate, a building issue affecting the tenant’s operation, a regulatory notice affecting the premises, or a disagreement over responsibility. We log the issue, notify the people named in the escalation plan, and refer legal questions to counsel and property transactions to your broker or property manager.
- What SPL produces: an issue log with owner, due date, and status, and a monthly report showing what is open and what needs your decision.
- See the format: sample monthly owner report; Corrective Action Log
Who SPL works for
The client is whoever signs the engagement.
If you engage SPL as the property owner, SPL works for you, and the scope, the information we handle, and who receives our reporting are set out in your written proposal. If SPL already works with your tenant, or is asked to, we raise it before anything is agreed, and the proposal sets out how that relationship is handled.
Our records of your tenant’s obligations are a coordination aid. They are not a lease interpretation, a determination of liability, or a certification of the tenant’s compliance.
